· First payment: 50% of the total amount, due 90 days before departure, no refundable.
· Second payment: Remaining 50%, due 60 days before departure.
Failure to comply with the payment deadlines may result in automatic cancellation of the reservation and the application of cancellation penalties.
If payment is requested following a written notice, SimonTrips must receive payment within seven (7) business days from the date of the request. If payment is not received within this period, the reservation will be considered fully cancelled, to the exclusive detriment of the Customer.
2.1 Partial and Individual Cancellations
· 45 days before arrival: 50% refund of the amount paid on the second payment (bank transfer fee: £10 per payment).
· 30 days before arrival: 25% refund of the amount paid on the second payment (bank transfer fee: £15 per payment).
· 29 days before arrival: No refund will be issued.
Missed departures, late arrivals, or missed flights, buses, or other transport connections do not qualify for refunds.
The following situations shall be considered a total cancellation and will trigger the application of full cancellation conditions and indemnities:
· Modification of the group’s arrival and/or departure dates.
· Failure to meet the payment deadlines stated in these Terms.
· A cancellation equal to or exceeding 50% of:
- the number of passengers,
- the number of rooms per night,
- the number of guests per day/person, and/or
- the total contract or budget amount.
· Cancellation of 50% or more of the confirmed services, even if part of the group remains.
· Failure to complete payment after written notice and within the specified seven (7) business days.
In the event of a cancellation of 50% or more, the remaining confirmed services will be subject to a new quotation and new price conditions, as determined by the School, Accommodation and/or suppliers.
The minimum number of paying passengers is:
- Immersion Programme: 12 paying Students.
- Language Course: 15 students
- Tour Group: No minimum applies.
If cancellations reduce the number below the number, the total trip price will be recalculated, and the Customer will be responsible for any resulting increase.
To be eligible for any refund, written cancellation notice must be received no later than 90 days before departure.
If this deadline is not met, SimonTrips is under no obligation to refund any payments made.
If SimonTrips cancels the trip for reasons beyond its control, a full refund of all amounts paid will be issued, including any flight tickets reserved through SimonTrips.
The agent or client will be notified:
· At least 30 days before departure when possible, and
· No later than 7 days before departure in exceptional circumstances.
The following details must be provided at least eight (8) weeks prior to arrival:
· Full legal names of all travellers
· Dates of birth
· Nationality
Once traveller details have been submitted to airlines, transport providers, or accommodation suppliers, no name or date changes will be accepted.
· Travellers are responsible for obtaining the appropriate visa and travel documentation.
· It is strongly recommended to purchase comprehensive travel insurance, covering:
- trip cancellation,
- medical assistance,
- emergency treatment, and
- emergency repatriation.
· Travellers must comply with all local laws and regulations.
Any illegal, disruptive, or inappropriate behaviour may result in immediate removal from the group without refund.
· An emergency contact should be provided prior to travel.
Travellers must declare in advance:
· any pre-existing medical conditions,
· allergies, or
· special requirements.
In case of a medical emergency, SimonTrips will contact the emergency number provided.
SimonTrips strongly recommends international medical insurance covering emergencies.
In cases of force majeure, including but not limited to natural disasters, pandemics, government restrictions, acts of terrorism, or social unrest, SimonTrips reserves the right to cancel or reschedule the trip.
While reasonable efforts will be made to provide alternative solutions, a full refund cannot be guaranteed under such circumstances.
· SimonTrips is not responsible for the actions or omissions of independent contractors, their employees, or representatives.
· SimonTrips is not liable for losses, damages, delays, inconvenience, or consequential losses, except in cases of proven negligence by its employees.
· In all cases, SimonTrips’ liability is strictly limited to the total cost of the trip.
· SimonTrips reserves the right to remove any participant whose behaviour is offensive or disruptive, with no obligation to provide further transport or refunds.
· Any damage caused to accommodation or transportation will be charged directly to the responsible passenger.
Passengers under 18 years of age traveling without a parent or legal guardian must present a written consent letter signed by a parent or legal guardian.
By providing personal data, travellers consent to its use by SimonTrips solely for booking management and service delivery, in compliance with applicable data protection laws.
By traveling with SimonTrips, travellers authorise the use of photographs taken during the trip for promotional materials, websites, and social media, without compensation.
The complete and final version of these Terms & Conditions will be issued within 48 hours of booking confirmation and is subject to final confirmation.
